DESCRIPTION
The American Dental Hygienists’ Association (ADHA), a national, not-for-profit, professional association representing the interests of more than 150,000 registered dental hygienists, has an immediate opening for a Development Manager for the ADHA Institute for Oral Health. Reporting to the Director of Corporate Development, the person in this position will manage all development efforts for this 501c3 organization including raising funds from donors and through special events; and facilitate volunteer groups in determining scholarship and research grant recipients.
RESPONSIBILITIES
Internal Office Management
1. Manages all development activities of the ADHA Institute
- Manages ADHA Institute liaison program consisting of volunteers/representatives nation-wide
- Develops appropriate liaison resources including fundraising ideas and forms, PR templates and Liaison Newsletter
- Maintains databases for all donor statistics
- Research potential and current donor base
- Manages donor acknowledgement and recognition process including honor roll/Awards
- Manages the design, production and distribution of all solicitation materials such as direct mail letters, e-mail campaigns and brochures
- Coordinates all communications with IOH liaisons
- Works with membership department to secure data regarding members who donate through annual dues renewal solicitations, and maintain the resulting database
- Works with Director of Corporate Development in creating and coordinating corporate donor information and opportunities for programs and giving
- Manages Endowment Fund
- Creates appropriate reports as required
2. Develops and Manages IOH Budget
- Works with Finance Division to develop annual budget for adoption by IOH Board
- Processes invoices and receivables
- Maintains database on donor giving
- Coordinates reporting requirements with ADHA Accounting Department
3. Marketing
- Collaborates with each division to insure communication opportunities are effectively used to educate donors and potential donors about IOH
- Maintains Institute website content to insure all resources and information are up to date.
- Manages social media communications
- Develops donor plea material
4. Manages Institute Award Challenge & Recognition
- Promotes award challenge
- Coordinates winner(s) per award category
- Coordinates with meetings/communications teams on category winners for announcement at annual session
5. Coordinate Institute activities at ADHA annual session:
- Collaborate with Meetings Division on IOH Booth set up
- Coordinate scheduling and attendance of committed and informed volunteers to staff foundation booth
- Collaborate with Meetings division for IOH/Presidents reception; including solicitation and management of all auction related activities
- Insure shipment of needed supplies and promotional materials.
- Coordinate liaison meeting
- Assists with other onsite activities as needed
6. Administers ADHA Institute Research Grant Review Program with technical assistance from Research staff
- Maintains database of grant applications
- Codes applications
- Corresponds with applicants and committee members
- Prepares and distributes packets for evaluators
- Serves as program liaison to Institute Research Committee
- Coordinates necessary meetings and conferences calls
- Ensures website information complete and correct
7. Oversees Scholarship Programs
- Maintains updated application
- Maintains database of application
- Confirms applicant data and eligibility
- Corresponds with applicant and committee members
- Prepares and distributes packets for evaluators
- Serves as program liaison to Institute Scholarship Committee
- Coordinates necessary meetings and conference calls
- Follows up on previous recipients
- Ensures website information complete and correct
8. Manages support staff as warranted
ADHA Entities:
9. Provides staff support to the Board of Directors and Institute Chair
- Assist with board meeting agendas
- Attends board meetings
- Coordinates board communications and appropriate resources
- Drafts minutes of all board meetings and conference calls for the Institute chair.
External Agencies:
10. Identifies and pursues grant opportunities
11. Manages Wrigley Community Service Grants
- Submits annual grant application to Wrigley Foundation for funding
- Maintains updated application
- Maintains database of application
- Confirms applicant data and eligibility
- Corresponds with applicant and review committee
- Prepares and distribute packets for evaluators
- Coordinates necessary meetings and conferences calls
- Follows up on previous recipients; collect mid-year and end of year reports
- Keeps website information complete and correct
QUALIFICATIONS
Must have demonstrable knowledge of the 501c3 foundation process, volunteer management and proficiency in managing databases. Must have excellent writing ability and grammar, good communication skills and display attention to detail. Must exhibit computer proficiency in IMIS, WORD, EXCEL, OUTLOOK, Adobe and other applications as required. Must display ability to take initiative and work independently, and be capable of working closely with ADHA members, donors, IOH board and committee members and staff. Minimum 2-3 years development experience required. Experience with grant writing a plus.
